Agreement

By making a booking with ClearEast Trip Private Limited ("ClearEast Trip", "we", "our"), you agree to be bound by these Terms and Conditions. Please read them carefully before confirming your journey. If you are booking on behalf of others in your group, you confirm that you have their authority to accept these terms on their behalf.

Booking & confirmation

  • A journey is confirmed only upon receipt of the booking deposit and a written confirmation from ClearEast Trip (via WhatsApp or email).
  • The booking deposit is 30% of the total trip cost per person, payable within 48 hours of receiving your confirmed itinerary.
  • The balance of 70% is due no later than 30 days before departure. For bookings made within 30 days of departure, the full amount is payable at the time of booking.
  • We reserve the right to release your booking if the deposit is not received within the agreed timeframe.

Pricing & inclusions

All prices are quoted in Indian Rupees (INR) unless otherwise stated. Our itinerary pricing typically includes:

  • Accommodation as specified (twin/double sharing)
  • Meals as specified in the itinerary (B = Breakfast, L = Lunch, D = Dinner)
  • All ground transport within the itinerary
  • English-speaking local guide for all included activities
  • Inner Line Permits and government permits as specified
  • Bhutan Sustainable Development Fee (SDF) where applicable

Prices typically exclude:

  • International and domestic flights to/from the start/end point
  • Travel insurance (strongly recommended)
  • Personal expenses, tips, and gratuities
  • Meals and beverages not specified in the itinerary
  • Entry fees to monuments and attractions not listed in the itinerary
  • Any activity not mentioned in the confirmed itinerary

ClearEast Trip reserves the right to adjust pricing due to significant changes in government levies, fuel costs, or currency fluctuation. Any such adjustment will be communicated before payment of the balance is requested.

Passports, permits & documents

  • It is your responsibility to hold a valid passport (minimum 6 months validity beyond your travel dates) and any visas required for your nationality.
  • For Bhutan: Indian nationals require a valid passport or voter ID. Other nationalities require a passport and a Bhutan visa, which we arrange as part of the booking.
  • For Arunachal Pradesh: an Inner Line Permit (ILP) is mandatory for all Indian nationals and Protected Area Permit (PAP) for foreign nationals. We handle this for all guests.
  • ClearEast Trip is not liable for delays, denials, or additional costs arising from incomplete, incorrect, or missing travel documents provided by the guest.

Health & fitness

  • Some of our journeys involve high altitudes (Sela Pass at 4,176 m, Tawang at 3,048 m, Bhutan mountain regions). It is your responsibility to consult a physician regarding your fitness for high-altitude travel.
  • Please inform us of any medical conditions, allergies, or dietary requirements at the time of booking.
  • ClearEast Trip reserves the right to ask a guest to withdraw from an activity if, in our guide's reasonable judgement, participation poses a risk to the individual or the group.

Itinerary changes

While we always deliver the journey we promise, certain factors may require adjustments:

  • Road closures, weather conditions, or government restrictions may require changes to routes or activities. In such cases, we will arrange the best available alternative.
  • Accommodation substitutions: if your confirmed hotel is unavailable due to reasons beyond our control, we will provide an equivalent or superior property at no additional cost.
  • ClearEast Trip is not liable for costs arising from delays or changes caused by flight disruptions, natural events, or government orders.

Cancellations & refunds

Our full cancellation and refund terms are available on our Cancellation Policy page. This forms part of these Terms and Conditions.

Behaviour & responsibility

  • All guests are expected to behave in a manner respectful of local culture, traditions, and communities. Northeast India and Bhutan are places of deep cultural and spiritual significance.
  • ClearEast Trip reserves the right to remove a guest from a journey, without refund, if their behaviour is deemed harmful to other guests, local communities, or the natural environment.
  • Guests are responsible for all costs arising from damage to property, fines, or legal matters resulting from their own actions.

Limitation of liability

ClearEast Trip acts as a tour operator arranging services provided by third parties (hotels, transport operators, guides, permit authorities). To the fullest extent permitted by Indian law:

  • We are not liable for personal injury, illness, death, loss, or damage arising from acts or omissions of third-party service providers.
  • We are not liable for losses caused by circumstances beyond our reasonable control, including natural disasters, political unrest, pandemics, or government actions.
  • Our total liability to you shall not exceed the total amount paid by you for the journey.

We strongly recommend comprehensive travel insurance that covers medical evacuation, trip cancellation, and curtailment.
